1. Who we are

TapSafe Vehicle is currently operated by Simon Beric as a UK business/trading name. For the purposes of UK data protection law, TapSafe Vehicle is responsible for deciding how personal information described in this policy is used.

2. Information we collect

Depending on how you use TapSafe, we may collect:

• account information, such as your email address and authentication details;
• order and delivery information, such as your name, email address, delivery address, order status and tracking information;
• vehicle information that you choose to add, such as registration, make, model, mileage, fuel type, service records, maintenance information, MOT/tax information and documents;
• TapSafe NFC tag information, including Tag IDs, activation status and the vehicle linked to a tag;
• support communications you send to us; and
• technical/security information generated when you use the website and its service providers.

3. Payment information

Payments are processed by Stripe. TapSafe does not need to store your full payment-card number in its own website database. Stripe may process payment, fraud-prevention and transaction information in accordance with its own privacy practices.

4. How we use your information

We use personal information to:

• create and secure TapSafe accounts;
• process, fulfil and dispatch NFC tag orders;
• send order confirmations, dispatch information and important service messages;
• activate, manage and transfer TapSafe NFC tags;
• provide vehicle dashboards and Vehicle Passports;
• maintain service, maintenance and vehicle records entered by users;
• respond to support enquiries;
• protect TapSafe, customers and accounts against misuse, fraud and security threats;
• meet legal, tax, accounting and regulatory obligations; and
• operate and improve the TapSafe service.

5. Our lawful bases

Depending on the activity, we process information because it is necessary to perform a contract with you (for example, processing an order or providing your TapSafe account), because we must comply with a legal obligation, because we have a legitimate interest in securely operating and improving TapSafe, or because you have given consent where consent is required.

6. Public Vehicle Passports

A TapSafe NFC tag is designed to open a Vehicle Passport when scanned. Information designated for the public Vehicle Passport may therefore be viewable by anyone who scans or otherwise obtains the tag's public link. Customers should only add information they are comfortable making available through the public passport.

TapSafe does not currently display emergency-contact information on the public Vehicle Passport.

7. Companies that help us provide TapSafe

We use specialist service providers to operate TapSafe, including:

• Supabase for database, account authentication and backend services;
• Stripe for payment processing;
• Cloudflare for website hosting, domain/DNS and related infrastructure;
• Resend for transactional customer emails.

These providers may process information on our behalf or, in some circumstances, for their own legally defined purposes. Their processing may involve infrastructure located outside the UK. Where international transfers are relevant, appropriate lawful transfer mechanisms and safeguards must be used.

8. How long we keep information

We keep personal information only for as long as reasonably necessary for the purposes for which it was collected, including providing active TapSafe accounts and tags, handling orders and support, resolving disputes, maintaining security, and meeting legal, tax and accounting requirements. Different categories of information may therefore have different retention periods.

9. Security

We use technical and organisational measures intended to protect TapSafe information. These include authenticated accounts, access controls and server-side services for sensitive operations. No internet service can guarantee absolute security, so customers should use a strong, unique password and keep account credentials private.

10. Your data protection rights

Depending on the circumstances and the lawful basis involved, UK data protection law may give you rights including access to your personal information, correction of inaccurate information, erasure, restriction, objection and data portability. Where processing relies on consent, you may withdraw that consent.

11. Your right to object

You may have the right to object to processing based on our legitimate interests. If we ever use personal information for direct marketing, you have the right to object to that direct marketing at any time.

12. Cookies and similar technologies

TapSafe may use browser storage and technologies that are necessary for account sessions, security and core website functionality. If we introduce non-essential analytics, advertising or similar technologies requiring consent, we will update our cookie information and consent controls before using them where required.

13. Children

TapSafe Vehicle is intended for vehicle owners, keepers and other users capable of managing a vehicle account. The service is not designed specifically for children.

14. Complaints

Please contact us first at [email protected] if you have a concern about how we use your information. You also have the right to complain to the UK Information Commissioner's Office (ICO).

15. Changes to this policy

We may update this Privacy Policy as TapSafe develops, including when we add new services, subscriptions or ways of using information. We will update the date at the top and, where required, bring significant changes to users' attention.
